How to approve a IDR/Cognos access request

Audience

This article is for individuals authorized to approve data access for the IDR/Cognos application.

Request Process

To initiate a Cognos account and/or data request, an employee's manager, supervisor, or director will complete the Cognos Access Request form. Justification for all data areas is required.

Approval/Rejection Process

Tickets

When a request is submitted, a parent ticket will be created for the Core account request, and routed to the Account Administrators for processing.

If additional data is requested, child tickets and approval task(s) will be created and assigned to the appropriate approval group. Examples: IDR-HR Data Stewards, IDR-Student Data Stewards, etc. 

Notification

If data is requested in your area, you'll receive an email for each item you're responsible for.  

  • To view the ticket (recommended): click View Ticket # at the top of the email
    • From this view you can approve or reject all data areas in one place, or communicate with the requester if you have questions.

Approval

You can approve or reject data requests right away. You don't need to wait for the Core account to be created. When you approve a data area, a task will be created on the parent ticket and assigned to the Account Administrators for processing. Data will become available to the user after this task is completed.

When viewing your ticket, you'll see all data areas requested, that you are responsible for, under Current Activities.  

Click Approve or Reject as needed for each one.

Status of data approval processing

After you've approved data access, if you'd like to check on the status of processing that access, you'll need to view the parent ticket. You can find a link to the parent ticket under Release in your ticket.
