Call forwarding options in Microsoft Teams

Overview

Learn how to forward calls to another extension, an outside phone line (like a personal phone), or to voicemail.

This process describes forwarding for phone numbers assigned to individuals. In order to forward calls to a call queue, the call queue phone number will need to be configured by Network and Telecom Services first. To request a group phone number, please submit a ticket on the Microsoft Teams Support service page.

Delegates can see when you’re on a call and who it’s with. Any calls made or received by you or on your behalf can be put on hold or resumed by you or your delegates.

From the desktop or web application

Select the Teams classic or Microsoft Teams (work or school) tab based upon your Teams version.

Click on your profile picture and select Manage Account or select the options (three-dots) menu and select Settings

Also ring

Select the Teams classic or Microsoft Teams (work or school) tab based upon your Teams version.

To have your calls notify both you and a delegate or colleague, select the Calls ring me option (default) then select New number or contact from the Also ring menu. 

Enter the delegate or colleague's phone number or search for their contact information, then select on the search result to set it. This will automatically save the configuration.

When you’re in a call and receive another call

Select the Teams classic or Microsoft Teams (work or school) tab based upon your Teams version.

When you're in a call and you receive another call, you may choose how you would like to be notified. This setting is also referred to as Busy on Busy.

  1. Go into the three-dot more options menu
  2. Select Settings
  3. Select Calls
  4. Scroll down to find When you're in a call and receive another call.

  5. Select the desired option from the drop-down menu:
    1. Play a busy signal
    2. Let new calls ring me (default)
    3. Redirect as if the call is unanswered (recommended)

If you redirect the call as if the call is unanswered, you may need to adjust a couple of other settings to your preferences:

  1. Scroll up to find If unanswered 
  2. Select the desired option from the drop-down menu:
    If unanswered menu, Voicemail highlighted
    1. Voicemail (recommended)
    2. New number or contact (recommended for delegated numbers)
    3. Do nothing
    4. Call group
    5. A previously saved number

Forwarding all calls

Select the Teams classic or Microsoft Teams (work or school) tab based upon your Teams version.

To forward all calls to your appointed delegate or colleague, select the Forward my calls option. 

Enter the delegate's phone number or search for their contact information, then select on the search result to set it. This will automatically save the configuration.

To forward all calls to your appointed delegate or colleague, select the Forward my calls option. This will forward all calls to your voicemail unless otherwise specified.

You can choose how all your calls will be forwarded by selecting the drop-down menu that appears. 

If you choose to enter another phone number or search for their contact information (e.g., delegate, other colleague) then select on the search result to set it. This will automatically save the configuration.

Quick Settings

From the Calls screen, look below the dial pad for the quick settings section.

From the Call Forwarding menu (the middle menu), you can select your forwarding option. Don't forward is the default setting. Selecting More Settings will take you through the process described above.
