How to backup email signatures in Outlook


Below are the steps for backing up your Outlook email signatures in Outlook 2016, 2019, and 365. Please note, backing up/restoring signatures is not supported on Mac. These steps are for Windows devices only. This should be done when your computer is being wiped, re-imaged, transferred to another location, or if instructed to by University of Oregon IT staff.

If you do not use Outlook signatures these steps are not necessary.

  1. Open Outlook.
  2. Click File in the top right corner.
  3. Click Options near the bottom left of the menu.
  4. Click Mail on the bar on the side.
  5. Hold Ctrl and click Signatures.
    • This will open a folder where all of your signatures are saved. 
  6. Copy these files to a secure and easy-to-find location.
