Self-Management of Teams Auto Attendant and Call Queue Greetings

Question

How do I set an outgoing greeting for my Teams auto attendant or call queue?

How to do it

Microsoft Teams allows authorized users to manage voice recordings and outgoing messages for auto attendants and call queues. If your department uses Amazon Connect and sends calls to voicemail at any point in the call flow, these steps also apply for updating voicemail greetings.

Prerequisite steps

Department phone coordinators, call queue owners, or Amazon Connect supervisors may submit a Voice Services Support ticket with a list of accounts to add as authorized users for designated auto attendants or call queues. Authorized users can update the following settings:

  • Auto Attendant:
    • Business hours greeting
    • After-hours greeting
    • Holiday greeting
  • Call Queue:
    • General greeting
    • Music on hold
    • Call overflow message
    • Call timeout message
Please Note: The message played when no agents are available or signed in can only be modified by Telecom Services. To request an update to this message or related call handling settings, please submit a ticket using the Voice Services Support form.

Authorized users will have an option in Teams Settings > Calls to add text or upload recordings directly for their auto attendant or call queue messages.

  1. In the Teams desktop client, go to Settings
  2. Select Calls, then select the applicable tab.

  3. Depending on what you select, the settings you can change will be presented. The following example are the settings that can be changed for a call queue.

  4. Select which the setting you would like change.

  5. For the Add a greeting message option, enter the message in the text field, up to 1000 characters including spaces, then click Save.A text box has appeared under the selection that is titled "greeting message" and states to type your greeting message here.
  6. For an existing message, change the text, then click Save.
  7. For Play an audio file, upload a pre-recorded message from your computer or shared file location, then click Save.
  • Please Note: The accepted file formats are MP3, WAV, and WMA. The file must be less than 5 MB. There is a button available that says Upload audio file, and states that the accepted files formats are MP3, WAV, and WMA. Files must be less than 5MB as well.
