Overview
This article is designed to guide DuckDocs (OnBase) users through the process in retrieving files in the OnBase Unity client and the web client. Retrieval is the act of searching then viewing files in OnBase using search parameters and keywords.
Retrieval using Unity
Click on the Retrieval button in the Home tab of the Ribbon Menu:
- Users must select an option from the Document Types Groups they have access to as well as an option from the Document Types, then by Keywords and Date Range.
- If you know that notes were added to a file, you can click on Note Search to incorporate those search terms
- Click Find once to conduct the retrieval search
Note: This is only able to search by one document type group at a time so if there are additional appended documents for a particular person, it will only search by that type. Custom queries will allow you to search across all document type groups for any associated files.
Custom queries
Custom queries will allow for a search across all document type groups. They are created by the Admin console for a specific purpose and must be created and assigned to you by an OnBase administrator.
- Click on Custom Queries
- Then select or search for a query
- Enter one or more search criteria
- Then click Search to retrieve documents
To open any document that comes available from either method described above, double-click on it from the search results pane on the right.
Retrieval using the Web Client
Retrieval using the Web Client uses the same methodology as the Unity client but is oriented to adapt to a web browser.
- Select Document Retrieval by clicking on the three-line menu in the top-left corner
- Select the Document Type Groups and Document Types you wish to search
- Multiple groups or types can be selected unlike in the Unity client by clicking along the left-hand margin
- Enter the date range and any associated keywords
- Then select Search
Click on any of the files that are retrieved from the search terms to see them in the client. Right-click on the retrieved file for additional options.
Custom queries in the Web Client
Select the three-line menu in the top-left corner then select Custom Queries
Upon selecting Custom Queries, you can do the following:
- Select the query you wish to run
- Select a date range and add any keywords needed to assist retrieval
- Click Search to retrieve
Click on any of the files that are retrieved from the search terms to see them in the client. Right-click on the retrieved file for additional options.
