DuckDocs (OnBase) Reporting on Ad-Hoc Tasks

Overview

This article outlines the steps to create a Workflow Activity Data Provider in the OnBase Unity Client to report on the execution of ad-hoc tasks within workflows. Data providers are used to populate Reports which display the provided data, and which are configured separately.

Please Note: You must have the appropriate privileges to create data providers in OnBase. To request access to any of the functionality described below, please submit a DuckDocs (OnBase) Service Request.

Process

  1. Open the Reporting Module In the OnBase Unity Client, click the Reporting button in the top ribbon
  2. Access Administration Settings In the Reporting module, click the Administration button at the bottom of the Gallery pane.
  3. Create a New Data Provider In the top ribbon, click Create New Data Provider.
    1. Select New Data Provider.
    2. Enter a Name and Description.
    3. Leave the Log data provider execution checkbox selected.
    4. Select Next.
  4. Select Data Type Choose Workflow Activity as the data type.
    • Select Next.
  5. Enable Ad Hoc Task Reporting Under data retrieval options, check the box for Ad Hoc Task Reporting.
    • Select Next.
  6. Select Tasks to Report On Choose the relevant ad-hoc tasks from the list.
    • Note: Ensure the Enable Log Execution for the configured tasks checkbox is unchecked. Leaving this box checked will result in an error.
    • Select Next.
  7. Configure Log Date Values Choose whether to include default log date values.
    • Select Next.
  8. Choose Display Columns You may see a message stating: “Data provider did not return any preview results.” This is typical, especially if no default log date values were provided earlier, or execution of the ad-hoc tasks has not yet been logged.
    • Select Next.
  9. Proceed by selecting the appropriate columns.
  10. Complete the Wizard Continue through the wizard until you reach the Summary screen.
    • Select Finish.
Important: For each task you wish to report on, ensure that task execution logging is enabled in the Studio Client. See steps below.

Enable task execution logging in Studio Client

To enable logging for ad-hoc tasks:

  1. Log into the Studio Client.
  2. In the Workflow tab of the Repositories pane, select the task you wish to report on.
  3. In the Properties pane (bottom section), ensure the Log Execution checkbox is checked for each relevant ad-hoc task.
  4. Select Save to apply changes.
Please Note: It may be necessary to reset the server cache for these changes to take effect. To request a cache reset, please submit a DuckDocs (OnBase) Service Request.
