Creating and Managing Shared Vaults in 1Password

Overview

UO employees can securely share passwords with other people using shared vaults in 1Password for business. Use shared password vaults for items you’d like to share with your team or department, or that may be needed by your colleagues or successor after you leave the UO.

What are shared vaults?

Vaults are like folders that help you organize your passwords.  

Shared vaults let you:

  • Share passwords and other secure information with selected colleagues, teams, or departments.
  • Assign granular permissions appropriate for each user, such as view-only or edit.
  • Assign two owners to a vault for business continuity, so contents won’t be lost if someone leaves.

Sample uses for shared vaults

  • Departmental social media passwords 
  • Door codes and passcodes to secure locations 
  • Logins to software or cloud services 
  • Product or license keys for purchased items 
  • Shared account numbers 
  • Information for specific projects 
  • Repository for information for your successor or unit for business continuity, if you leave the university

Creating and sharing vaults 

1Password provides instructions for managing shared vaults. 

Log in to your 1Password account online or open and unlock the 1Password app to get started. 

Warning! Everyone with access to manage a vault can also delete it. Be careful about granting this level of permission. Deleted vaults can’t be recovered.

Sharing individual items in your vault 

You can use links to share individual items with people who don’t have access to your vault. To share a password using a link:

  1. Find the item and click the Share button. 
  2. Add the recipient's email address and Share or Copy the link. 
Note: At the UO, you can only share individual passwords with other UO email accounts.
Warning! Individually shared items can only be viewed only once by the recipient.
