Checking Your File Sharing Permissions in Office 365

Overview

Office 365 users can review the sharing permissions on their files to ensure access is limited to only those who need access.

This article will guide you through the steps for running an audit of files in OneDrive and SharePoint.

In OneDrive

This report will generate a list of your files and their current sharing status.

To run the report

  1. From the Office 365 app launcher, select the OneDrive icon.
  2. On the Settings menu, click OneDrive settings.
  3. Click More settings, and then click Run sharing report.
  4. Choose a location to save the report, and then click Save.

Notes

  • The report may take some time to run depending on the size of the site.
  • When the report is finished running you will receive an email with a link to the report.

In SharePoint

This report will generate a list of your files and their current sharing status.

  1. Open the site where you want to run the report.
  2. On the Settings menu, click Site usage.
  3. In the Shared with external users section, click Run report.
  4. Choose a location to save the report, and then click Save.

Filtering this report

Regardless of the method you used, you will want to filter it to narrow your focus. 

  1. Filter the User Name column to only include
    • Everyone except external users
    • Sharing Link
  2. Filter the Link Type column to only include
    • (Blanks)
    • Anyone
    • Organization
