University of Oregon use this service to onboard new University of Oregon Evergreen Users.

How to Request Onboarding

Access to Evergreen by University of Oregon employees is managed and approved by University Advancement, in partnership with University of Oregon Foundation and Alumni Association of the University of Oregon following our relationship and data use agreements.

Evergreen Access Criteria

University Advancement utilizes an array of tools for managing constituent information. At the core of our operations is Evergreen, a Constituent Relationship Management (CRM) software tailored for educational institutions’ advancement units.  

Additionally, Tableau serves as our primary visual analytics tool. Tableau provides powerful data visualizations and analysis, enabling meaningful insights through interactive dashboards.  

To protect constituent privacy and operational efficiency, access to Evergreen is granted by the University of Oregon’s Vice President of Advancement or their designee individually to university employees based on business need. Users must commit to protecting constituent privacy, completing prescribed training, and adhering to all system usage requirements outlined in the access request process. Periodic audits of system access privileges are conducted to evaluate ongoing business need, with access privileges subject to revocation if need ceases or use policies are violated. 

Who can request access to Evergreen? 

University of Oregon employees who are: 

  • Frontline fundraisers and their support staff who access and maintain fundraising and donor engagement information. 
  • Alumni engagement, constituent engagement, and donor relations staff who organize events and maintain engagement information including memberships and activities. 
  • Prospect Development staff who identify donors and maintain prospect information. 
  • Advancement leaders who oversee team and strategic initiatives and their support staff. 
  • Communications staff who manage and create external communications for Advancement and the UO Alumni Association. 
  • Evergreen administrators, such as system administrators, operators, and trainers, and their support staff. 
  • Financial managers who require access to fundraising reports, giving history, and pledge information. 
  • Other University of Oregon employees who are responsible for constituent engagement and outreach in coordination with University Advancement. 
  • Access to Anonymous gift data will be granted to individual Evergreen users by the Vice President of Advancement or their designee. 

If the user requesting system access relies solely on reports and does not maintain data in Evergreen, and if all required reports are available, access will be granted exclusively to Tableau. The license cost will be adjusted accordingly. 

Tableau licensing criteria 

  • Tableau Creator: users who manage the Evergreen platform, train users, create analytics products, build and distribute reports or dashboards for other groups, or create Tableau data sources.  
    • Personas: Prospect Development, Advancement Analytics, Platform Administrators, Campaign Administrators. Individuals receiving Tableau Creator licenses are expected to complete advanced Tableau training (specific training requirements TBD). 
  • Tableau Explorer: users who consume reports, dashboards and pre-established data sources who require extended analytics functions and advanced data manipulation capabilities beyond those offered in standard reports or dashboards. 
    • Personas: Development Leadership Officers or Support Staff, Unit Head Development Officers or Support Staff. Individuals receiving Tableau Explorer licenses are expected to complete extended Tableau training (specific training requirements TBD) 
  • Tableau Viewer: Users who consume standard reports and dashboards. 
    • Personas: All personas not indicated previously. Individuals receiving Tableau Viewer licenses are expected to complete standard Tableau training (specific training TBD) 

To request access please follow these steps:

  1. The supervisor/hiring manager clicks Request Onboarding (top right of the page) and provides the requested information.
  2. The new employee submits the Data Use / Privacy form linked here
  3. Digital First strategy will send the new employee invitations for training content tailored to their business function and final access instructions.
