Limiting recording and transcription access in recorded Teams meetings

Question

How do I limit the access to the recording and/or transcript for a recorded Teams meeting?

Solution

When you create a new meeting:

  1. Select the Options link in the New Meeting window.
    Meeting options menu button
  2. A panel will appear on the right side. Select the More options link.

  3. A pop-up window will appear. Select the Recording & transcript menu option.

  4. In the Who has access to the recording or transcript drop-down menu, select Organizer and co-organizers or Specific people.

    1. If you selected Specific people, in order to assign a role to a participant, you will need to add them as required attendees to the meeting first then select them.
    2. For more information, please consult the Roles in Microsoft Teams meetings (Microsoft Support) article.
  5. Select Save.

To adjust these options (or any of the other meeting options) later but before the meeting takes place, open the meeting from the calendar, select the Expand icon (indicated by a two-headed arrow in the upper-right corner), then select Options.
