How do I set an outgoing greeting for my Teams auto attendant or call queue?
How to do it
Microsoft has enabled a feature that allows authorized users to manage voice recordings/outgoing messages for Teams auto attendants and call queues. Here are the steps to begin self-management:
Prerequisite steps
An auto attendant/queue owner submits a ticket via the Voice Services Support Request form, identifying the auto attendant and/or queue and any users to authorize. Teams administrators will assign the recording management permission via a user policy to each person in the request and then authorize them for the identified auto attendant/queue. Please provide which greetings should be enabled for each user to be authorized:
- Auto attendant
- Business hours greeting
- After hours greeting
- Holiday greeting
- Call queue
- General greeting
- Music on hold
- The message for call overflow
- The message for call timeout
Please Note: The message presented to the caller when there are no agents available/signed in can only be changed by Telecom Services. Please submit a ticket to request an update to the message and/or call handling using the
Voice Services Support form.
Authorized users will then have a feature enabled in their Teams Settings under the Calls section that will allow them to add or upload recordings to their queue.
- Through Teams, go to Settings.
- Select Calls, then select either the call queue tab or auto attendant tab.
- Depending on what you select, the greetings you have access to will be presented.
- Select which type of greeting you would like to set up.
- For the Add a greeting message field, type what you want the message to be in the text field, up to 1000 characters including spaces, then click Save.
- For Play an audio file, upload a pre-recorded message from your computer or shared file location, then click Save. This is handy for using recordings that are commonly reused like standard outgoing greetings or holiday closure messages.
- Please Note: The only file formats accepted file are MP3, WAV, and WMA. Files must also be less than 5 MB.
