How do I add a video file to an article?
Solution
Adding a video to an article is a multi-step process and will depend upon a few conditions.
- Does the video clearly convey your message?
- Does the video have accurate captions? (Required for approval)
- Where is the video hosted? (YouTube, Vimeo, Microsoft Stream via SharePoint)
Please Note: Video files are not able to be hosted directly within the UO Service Portal. Please use a hosting service then embed the video in your article.
Conveying your message
Your video must align with the topic of your article.
- Adding a video for its own sake is not always necessary.
- Consider how the video would enhance the article, then ensure that is accessible to anyone who reads your article.
- If there is audio in the video file, be sure that it is accurately captioned and transcribed.

Ensuring accuracy in subtitles or captions
YouTube, Vimeo, and Microsoft Stream in SharePoint all have the capacity to generate automatic subtitles for an uploaded video, however, you cannot rely on that feature alone to ensure accessibility.
On automated captions from UO Digital Accessibility:
Many video services and hosting platforms, like YouTube, can automatically generate captions. Unfortunately, while automated captioning is getting better, it's not totally accurate. The accuracy of automated captions is impacted by everything from microphone quality to a speaker's accent to how common the words used are. Automated captions are not good enough – for pre-recorded videos, they can be a helpful starting point, but need to be edited for accuracy and missing information (like non-speech sounds and speaker information) frequently needs to be added in.

Uploading the video file to your article
Select the hosting service where your video resides.
If your video is hosted on YouTube, the process is straightforward.
- Select the YouTube button from the editor toolbar.
- A dialog box will appear.
- If you have copied the Embed code from YouTube, enter it in the Paste Embed Code Here field.
- If you have the YouTube URL for the video, enter it in the Paste YouTube Video URL field.
- From the additional settings, please ensure that the Autoplay option remains unselected.
- Select OK to insert your video. The video will appear in a frame with video controls and a link to watch it on YouTube.
- Select Save (Draft), or Update Article to save it to your article.
Need help?
Videos hosted in Vimeo or Microsoft Stream via SharePoint require a different process to match the YouTube embed experience.
- Go to Vimeo or Microsoft Stream via SharePoint, then copy the embed code.
- In the editor window, select the Source button. The Source editor shows the content's code in a modified HTML and Bootstrap syntax.
- Find the location where you would like the video to reside, then paste the embed code.
- Select the Source button to view the video frame in your article.
- Select Save (Draft), or Update Article to save your changes.
