Creating a multi-day reservation (single room and multi-room)

Purpose

This article is designed to guide EMS users through the process of creating multi-day reservations focused on a single room or multiple rooms depending on need. 

Multi-Day, Single Room Process

  1. Click on the Wizard button to open the Wizard dialog box.
  2. In the Calendar section of the dialog box, select the dates that are in your event request. Additionally, you can select Date Pattern to choose a set pattern over a range of dates.
  3. Select the Best Fit option under the Search
  4. Set the Status to Confirmed, then click Next >
  5. Select the room that best fits with the dates available then press the > button to apply it to all of the selected dates, then click Next >
  6. Enter an Event Name and select the magnifiying glass button next to the Organization field, find the requestor's unit, then double-click the unit or select it and click Select.
  7. Assign the 1st Contact to the requestor. Select the (temporary contact) then enter their name under the Temp Contact field.
  8. Be sure to add a phone number and/or email address in the adjacent field for each (recommended)
  9. Click Finish to set the reservation and associated bookings.

Multi-Day, Multiple Room Process

  1. Click on the Wizard button to open the Wizard dialog box.
  2. In the Calendar section of the dialog box, select the dates that are in your event request. Additionally, you can select Date Pattern to choose a set pattern over a range of dates.
  3. Select the Best Fit option under the Search
  4. Set the Status to Confirmed, then click Next >
  5. Select a room that best fits with the one of the dates available then press the > button to apply it to all of a date, repeat the process until all rooms have dates associated with them, then click Next >
  6. Enter an Event Name and select the magnifiying glass button next to the Organization field, find the requestor's unit, then double-click the unit or select it and click Select.
  7. Assign the 1st Contact to the requestor. Select the (temporary contact) then enter their name under the Temp Contact field.
  8. Be sure to add a phone number and/or email address in the adjacent field for each (recommended)
  9. Click Finish to set the reservation and associated bookings.
