Using Ad-Hoc Tasks to Approve a Document in DuckDocs (OnBase)

Summary

How to use ad-hoc tasks to review and approve a document in DuckDocs (OnBase).

Body

Overview

OnBase allows for designated users to review and approve documents that are submitted to the system. This approval is done with an ad-hoc task, which is represented by an icon in Workflow view. After the approver carries out an ad-hoc task, the form will leave the queue and move on to the next step in the workflow if applicable.

Process

  1. Launch the OnBase Unity Client on your computer. (Or click the link in the approval request email you may have received.)
  2. From the homepage toolbar (located at the top of the screen), click on the Workflow icon.
  3. Locate the lifecycle and queue described in the email notification you received and select it.
  4. Select the document you want to review and perform a task on.
  5. Click on the appropriate task button on the ribbon within the queue. Tasks are different depending on your role in the specific workflow you are accessing, but often you will be asked to Approve or Deny a request.
  6. When taking action, you may be asked to enter a reason, which will be sent back to the form submitter in an email notification.
  7. After you review the form and complete your task, the form will leave the queue and move on to the next step in the workflow, if applicable.
